Standing Committees Description and Responsibilities

Executive Committee: Comprised of the Chairperson, Vice Chairperson, Secretary and Treasurer and if deemed necessary the Past Chairperson. The responsibility of the Executive Committee is to provide organizational oversite and conduct organizational business in a professional and legal manner.
Chairperson: Is a member of the Central Committee and helps to achieve the organizational mission.
Provide leadership to the Executive and Central Committees. Chair committee meetings of the Central committee after developing the agenda with the Executive Committee. Encourage participation in strategic planning and other organizational activities. Appoint the chairpersons of committees, in consultation with the Central Committee.
Serves ex officio as a member of committees and attend their meetings when invited. Help guide and mediate committee actions with respect to organizational priorities and governance concerns. Monitor financial planning and financial reports. Play a leading role in fundraising and event planning activities.
Vice Chairperson: This position in typically successor to the Chair position and is a member of the Central Committee. Perform Chair responsibilities when the Chair cannot be available (see Chair Job Description). Participates closely with the Chair to develop and implement officer transition plans.
Secretary: Is a member of the Central Committee. Maintains records of the board and ensures effective management of organization's records. Manage minutes of Central Committee and Executive Committee meetings. Ensures minutes are distributed to committee members shortly after each meeting. Is sufficiently familiar with legal documents (articles, by-laws, State party, Secretary of State, etc.) to note applicability during meetings.
Treasurer: Is a member of the Central Committee. Manages finances of the organization and administrates fiscal matters of the organization, (reports for the SOS, and State party, etc.). When necessary the Treasurer will help develop and provide an annual budget, for committee review and approval.
Committee chairs: Is a member of the Committee. Sets tone for the committee work. Assigns work to the committee members, sets the agenda and runs the meetings, and ensures distribution of meeting minutes, when necessary.
Ensures that members have the information needed to do their jobs and oversees the logistics of committee's operations. Reports to the Central Committee Chair and reports to the full Central Committee on committee's decisions/recommendations.
By-Law and Policy Committee: Comprised of a Chair person and two other Central Committee members. The committee will review the by-laws every two years following the reorganizational meeting. The committee will make recommendations to the Central Committee of changes. Make recommendations to the Central Committee throughout the year if changes are needed.
Marketing Committee: Develops and maintains the organizations website, Facebook page and other social media outlets. Prepares all press releases and interacts with all levels of media, providing updates and information beneficial to the community about Republican politics and the Central Committee. Coordinates and assist other standing committees with their communication, marketing and promotional needs. Working with other committees, (event) committee is responsible for the design of all materials, from signage and brochures, to tickets, programs, etc. The ideal Chair of this committee will be creative, fun and possess excellent verbal and written communication skills.
Legislative Committee: Committee members will work on informing the Central Committee about upcoming legislation that would have an interest to the committee. Provide informational documents to the committee regarding websites, meetings, and organizations related to Republican and or political interest. Arrange for speakers and presenters for Central committee meeting and events, when necessary.
Events Committee: The event committee plans and organizes the entire event to be held. Arrange for the venue, coordinate with speakers and caters. Develops and follows an event budget. The committee will work with the marketing committee to inform the community of the event.
Event Chairperson – the Chair provides leadership for the entire event planning process; chairs committee meetings. Orchestrates the overall production, providing guidance to volunteers as needed, and making the final decisions. The Chair is the spokesperson for the entire group – articulating the goals and progress of the event, and providing an event evaluation to the organization’s executive members. The ideal candidate must possess strong organizational skills complemented by flexibility, be able to lay the ground work and coordinate resources to maximize productivity, and achieve objectives under a great deal of stress, deadlines and, sometimes, chaos. Their leadership style cultivates team building through trust and nurturing relationships, ultimately creating unanimity amongst committee members. Establishes a budget for each event and controls spending, communicates with the marketing and executive committee with progress reports as an event is planned.
